Our lawful bases
UK data-protection law requires us to have a lawful basis for each use of personal information.
Depending on the circumstances, we may rely on the following bases.
Legitimate interests
We may process information where it is necessary for our legitimate interests or those of another person, provided those interests are not overridden by your rights.
These interests may include:

You may withdraw consent at any time. Withdrawal will not affect processing that took place before consent was withdrawn.
Vital interests
In rare situations, we may use or disclose information where this is necessary to protect someone’s life or physical safety and the person is unable to provide consent.
Sensitive and special-category information
Where we process special-category personal data, we must have both an ordinary lawful basis and an additional condition under data-protection law.

- it is necessary for safeguarding children or individuals at risk;

Safeguarding and confidential information
We take confidentiality seriously, but confidentiality cannot always be absolute.
We may disclose relevant information without consent where we reasonably believe that:
- a child or adult may be at risk of harm;
- someone’s life or physical safety is at risk;
- a serious crime may have occurred;
- disclosure is required by law or court order; or

Where possible and appropriate, we will explain a disclosure before making it. However, we may not do so where this could increase risk, prejudice an investigation or be unlawful.
Only information that is relevant and proportionate should be shared.
International transfers
Some of our technology providers may store or access information outside the United Kingdom.
Where personal information is transferred internationally, we will take reasonable steps to ensure that an appropriate legal safeguard is in place. Depending on the destination and provider, this may include:

- the UK International Data Transfer Agreement;
- the UK Addendum to approved contractual clauses; or
- another safeguard permitted by law.
Further information about relevant safeguards can be requested from us.
How long we keep information
We retain personal information only for as long as it is reasonably required for the purpose for which it was collected and to meet any legal, accounting, safeguarding or reporting responsibilities.
The appropriate retention period depends on the type of record and may include the following general periods:
General enquiries
Routine enquiries that do not lead to an ongoing service will normally be deleted or anonymised within 12 months after the matter is closed.
Service enquiries and administrative records
Records relating to services, bookings or support may normally be kept for up to six years after the matter ends where an appropriate administrative or legal record is needed.
Less significant enquiries may be deleted earlier.
Event and class registrations
Routine registration and attendance information will normally be retained for up to 12 months after the event or programme ends, unless a longer period is needed for safeguarding, finance, certification, dispute or insurance purposes.
Donation, Gift Aid and financial records
Donation, Gift Aid, accounting and transaction records will normally be retained for at least six years after the end of the relevant financial or accounting period, or longer where legally required.
Safeguarding records
Safeguarding records may need to be retained for significantly longer periods according to applicable law, statutory guidance, insurance requirements and the Centre’s safeguarding policy.
Complaints, incidents and legal matters
Records may be retained for as long as necessary to investigate and resolve the matter and for an appropriate period afterwards in case of legal claims, regulatory enquiries or related concerns.
Mailing lists
We retain mailing-list information until you unsubscribe, withdraw consent or we determine that the information is no longer current or required.
Mobile app notifications
Your app installation record is removed when you turn off every remote-notification category. Inactive installation records and device-level delivery records are normally removed after 90 days. Non-personal broadcast audit records may be kept for up to 12 months for operational accountability.
Technical records
Website security logs, backups and technical records may be retained for shorter operational periods unless they are needed to investigate a security incident or misuse.
When information is no longer needed, we will securely delete it, anonymise it or place it beyond routine use until deletion from backups.
How we protect personal information
We use reasonable organisational and technical measures intended to protect personal information.
These may include:
- restricting administrative access;
- using individual user accounts;
- strong passwords and authentication controls;
- limiting access according to role;
- website and server security measures;
- encrypted connections;
- software updates and maintenance;
- secure backups;

No website, email system or internet transmission can be guaranteed to be completely secure. You should avoid sending unnecessary sensitive information through general email or forms that do not request it.
